How to choose a POS: a checklist for an educated decision

Choosing a cashier program usually happens in ten minutes: a friend's recommendation, a price, a demo video. Then you live with it for years. Here are fifteen questions to ask any program before you pay — grouped the way a shop actually works — with what a good answer sounds like, how PosMasr answers each one, and a table at the end to print and take with you.

How to use this list

Ask every question to every program you are considering, and write down the answer, not your impression. Three rules make the list work:

  • “Show me” beats “yes”. A good answer is a screen you can see, a button you can press, or a sentence written on the seller's own page.
  • A vague answer is an answer. “We will see”, “it depends”, “call us later” — write them down as such.
  • Skip what your shop does not need. A kiosk does not need a stock-take; a pharmacy does. Cross out the questions that are not yours before you start.

The counter

1. How long does a normal sale take, and can a new cashier learn it in one morning?

A good answer: “Sit down and try it” — on your products, not in a video. Scan, pay, change, print, with no hunting through menus.

2. What can a cashier do alone, and what needs the manager?

A good answer: separate accounts, rights you choose per cashier, and the manager approving on the spot — so every receipt carries a name.

3. Returns, voids and discounts — with a trace?

A good answer: a return starts from the original receipt, the stock comes back, and a cashier's discount has a ceiling.

4. Will it run on the PC, printer, drawer and scanner I already have?

A good answer: “Yes — any Windows PC, any thermal printer with a driver, any USB scanner.” A bad one: “only with our terminal”, which you pay for twice the day you leave.

5. A scale, barcode labels, a customer display?

A good answer: named brands and a test button, not “we can look into it”.

Stock and money

6. Stock, receiving, expiry dates and the stock-take?

A good answer: receive by scanning, a running-low list, an expiry alert, and a stock-take that shows the differences before you apply them.

7. Can I close the drawer at night and know who is short?

A good answer: shifts with a float, cash in and out with a note, and a count at closing that prints expected, counted and the difference.

8. Customers on credit, and suppliers?

A good answer: a balance per customer, partial payments, a printed statement — and what you owe each supplier.

9. Can I see today's sales from my phone?

A good answer: live, without calling anyone, and without a technician setting up your router.

10. What exactly works when the internet cuts?

11. Can I export everything, today, into a normal file — and leave?

A good answer: “Here is the button.” Not “ask support”, not “in the paid plan”, not “why would you leave?”.

12. Who takes the backups, and where do they go?

13. What do I pay in year two and year three — per till, per user, per feature?

A good answer: one written list, with nothing that appears only after you have typed in your products.

Do not score it like an exam. Two or three of these questions matter most for your shop — a pharmacy's are expiry and the stock-take, a café's the counter and the kitchen, an owner who travels the phone. Quick answers

Do I really need all fifteen?

No. A kiosk that sells and prints can skip stock, credit and the scale. But questions 4, 10, 11 and 13 — your hardware, the internet, your data and the cost over time — apply to every shop.

Desktop or online — which questions decide it?

Mostly 9, 12 and 14: whether you need the shop on your phone without any setup, who you want taking the backups, and whether you expect more tills or branches. Online or on the PC goes through it honestly.

A seller will not let me try before paying. What then?
