Job orders: laundries, tailors and repair shops, from intake to collection

Some shops do not sell what is on the shelf. They take something from the customer, work on it, and give it back days later: a dry cleaner, a tailor, a phone, watch or shoe repair shop. Their real record is a stack of carbon-copy receipts and a lot of memory, and their worst day is “I lost the ticket” on one side of the counter and “I cannot find the suit” on the other. Job orders in PosMasr Cloud give every piece a number, a ticket and a step, from intake to collection. Here is how it works in four kinds of shops, what the customer sees, and where it stops.

Four templates, one idea

Switch job orders on in Settings → Job orders and pick the template closest to your shop. Each one brings its own steps and fields; you can rename steps and switch the optional ones off.

A starter price list saves the first evening: for a laundry you fill a grid of items × services (shirt, suit, abaya × wash, iron, dry clean) and it becomes products; the other templates get open-priced service products.

Intake at the till: a dry cleaner in Heliopolis

Thursday evening at a dry cleaner in Heliopolis. Mrs Nadia brings two suits, five shirts and a silk dress for a wedding on Saturday.

  1. The cashier taps the items into the cart from the price-list tiles, as for a sale, and marks the dress express.
  2. Job opens the intake: Nadia's name and phone (and e-mail if she has one), a stain tag on one shirt and “missing button” on the other, the due date and time, and a deposit, cash or card.
  3. The till prints the claim ticket for her and a shop copy, then the piece tags on the label printer: J0042/1 to J0042/8, one pinned to each piece.

Job numbers have their own series and never touch receipt numbers. The ticket carries your terms (“items not collected within 60 days…”), the tracking QR, and what is left to pay.

The repair shop: a phone stall in Bab El Louk

Karim fixes phones at a small stall. A customer leaves a phone with a cracked screen. Karim types the model and the IMEI, ticks the condition tags (scratched back, dented corner), notes that the cover and the charger stay with the phone, and writes an estimate. The job waits in Waiting for approval until the customer says yes, and his answer is recorded. If he says no, the phone goes straight to Ready, returned as it is. Parts come from your stock and labour is its own line; warranty days print on the ticket.

Never write the customer's passcode. The repair form says so, and a passcode is dropped, never stored. Ask the customer to unlock the phone in front of you when you need to test it.

The same template fits the watch repairer in Attaba and the shoe repairer around the corner; the tailor in Shubra gets the Tailoring one, with each customer's measurements saved for next time.

The jobs board

Job orders (in the back office and the till app) shows every open job as a board, a column per step, or as a list. Filters for due today, overdue, ready but not collected, by staff and by step. The search box takes a scanned piece tag. One tap moves a card to its next step, and when it becomes Ready you note the shelf it is on — so on Saturday morning nobody searches the whole rack for Nadia's dress.

Ready: telling the customer

  • By e-mail, by itself, when the job turns Ready, if the customer left an address and you allow it.
  • On WhatsApp, with one tap from the job's page: a message already written opens on the cashier's phone or PC, and the cashier presses send. Nothing is sent automatically, and it costs nothing.
  • Track my order: the QR on the ticket opens a page with the current step, when it is due, what is left to pay and the pieces — with the first name only. No number, phone or ID opens it; only the ticket's own code.

Collection and the deposit

Saturday, Nadia is back. The cashier presses Collect and finds the job by the ticket's QR, its number, a piece tag or her phone. Collection is an ordinary sale at the agreed prices, with VAT as on any receipt, paid by the deposit she left and the rest in cash or by card. She can take some pieces now and the rest later. The deposit is held as an advance until then — with the shop's deposit-VAT setting on it gets its own advance tax invoice; see instalments, deposits and the VAT on a deposit.

If the collection receipt is voided, the pieces go back to the job and so does the deposit: the job is Ready again with its deposit held, and the next collection uses it. What was paid in cash or by card at that collection stays the customer's credit, as on any voided sale on account. The rule is the same online and on your PC.

Reports and the forgotten pieces

Every dry cleaner has a rack of things nobody came back for. Reports → Job orders shows jobs received, ready, collected and cancelled in the period with their values, the turnaround from received to ready, what is open, overdue or waiting, the deposits you hold for open jobs, the work by staff, and the uncollected items at 30, 60 and 90 days, with your terms beside them. Print it, or take it to Excel.

On the program on your PC

Since 7 October 2026 job orders are in the program on your PC too, from the Silver package: Settings → Features → Job orders. The same four templates; intake from the sales screen with New job over the cart; the deposit; the claim ticket, the shop copy and piece tags on the label printer; the board and the report from the top bar; and collection as an ordinary sale at the job's prices.

What stays online only:

  • The Track my order page and its QR on the ticket: they need a web address, which a shop on the program on its PC alone does not have.
  • The “ready” e-mail to the customer: from your PC, send the ready message on WhatsApp with one tap.
  • A second till does not take jobs: the main till keeps the jobs and the deposits.
  • The laundry's starter price list (items × services): on your PC, add the items as ordinary products.

Quick answers

The customer lost the claim ticket. Now what?
Find the job by her phone number, or by a piece tag. The ticket is a convenience, not the only key.

Can I change the prices of a job after intake?
Yes, with the right to change prices or a manager's approval; open-priced services (like labour) take any price.

The customer cancels. What happens to the deposit?
Cancel the job, and pay the deposit back when your terms allow it; its refund document prints from the job's page.

I use the program on my PC. Can I have job orders?
Yes, since 7 October, from the Silver package: Settings → Features → Job orders. Only the tracking page and the ready e-mail stay online; on your PC the ready message goes on WhatsApp.

Does it work with my label printer?
Piece tags print on the label printer the till uses; the tickets print on the receipt printer.
