The supplier's invoice from a photo: take a picture, check it, and the stock is in

Receiving stock is the most boring hour of the week: the invoice in one hand, the keyboard in the other, forty lines of names that never match yours. In PosMasr Cloud you photograph the invoice — Arabic or English, printed, thermal, even with amounts written by hand — and get a filled-in receiving to check. Here is how it reads, how it checks itself, what it learns, what it costs in readings, and why it is not on for every shop yet.

The receiving hour

Tuesday, eleven in the morning. The cleaning-products distributor drops off twelve cartons and a thermal invoice already fading at the edges. Forty lines: “SHMP H&S 400ML CLS”, “منظف ارضيات ليمون 3ل”. Your product list calls them something else. So the invoice goes in the drawer “for tonight”, the stock is wrong until then, and the costs never get updated — which is how a shop ends up selling at last year's margin.

Three steps

  1. Inventory → Invoice from a photo (or the From a photo button on Receive stock). Take a photo opens the phone's camera; Choose a file takes a photo or a PDF.
  2. Read the invoice. AI reads it, and in a few moments the review page shows the photo next to the lines it found: product, quantity, pieces per carton, unit cost, line total, and the expiry and batch if you keep them.
  3. Check the supplier, the invoice number and date, the VAT (added on top, included, or none), on account or paid now — then Confirm and receive. Stock, costs and the supplier's invoice are posted in one go. A two-page invoice? Add the next page first.

Green, amber, red

Every line comes coloured, so your eyes go where they are needed:

  • Green — sure: the product was matched by barcode or by what this supplier called it last time, and the line adds up.
  • Amber — have a look: a match by name, with the best three candidates to pick from.
  • Red — needs you: no match, or numbers that do not add up. Pick any product, make it a new product on the spot (name, barcode, piece cost, and a price from your usual markup), or skip the line.

A supplier you never had is the same: “New supplier”, with the name as printed and his tax number if it is on the invoice.

We never trust the reading's maths

The AI only transcribes. PosMasr redoes every sum itself — each line, the total, the VAT — and puts a banner on top: “Matches the invoice: 1,240.50”, or “Differs by 12.00: check line 4”, with a link that jumps to that line. A carton of 12 is read as 12 pieces (“12x1L”, “كرتونة 12”, a dozen), and the piece cost takes its share of any invoice discount. The same photo or the same invoice number twice is caught before anything is posted.

Nothing is posted until you press Confirm and receive. Until then it is a draft you can correct line by line, or throw away.

It learns each supplier

When you match “SHMP H&S 400ML CLS” to your “Head & Shoulders classic 400 ml” once, PosMasr remembers it — for that supplier. Next week the same line comes green. After two or three invoices from the same distributor, receiving him is mostly one look and one tap.

Where the photo goes

To be read, the photo is sent to the AI provider that reads it, so the first time a manager must agree to that in Settings → Invoice photos. Nothing is sent before. The photo we keep is shrunk and stripped of its hidden data (such as location), is not on any public address, opens only for signed-in users of your shop, and is deleted with your account.

Switched on shop by shop

It ships switched off. We are switching invoice photos on shop by shop, so we can watch the readings on real invoices before everyone has them. Until it reaches your shop, the page says “not enabled for your shop yet”, and nothing is read or counted.
  • It is in PosMasr Cloud only, not in the program on your PC.
  • A very faint or torn invoice can come back mostly red; then it is quicker to type those lines.
  • It does not mark where on the photo each line was read; you compare by eye, with the zoom.

Readings in each plan

A reading is one page: a photo is one reading, a PDF counts each of its pages. A failure on our side does not count; a photo that was read but turned out unreadable does.

Quick answers

Does it read handwriting?
Printed and thermal invoices best; amounts written by hand often, but not always. Whatever it reads, PosMasr checks the sums and colours the doubtful lines.

Can it post something wrong without me?
No. It only fills a draft. You confirm, and the totals banner tells you before you do whether the invoice adds up.

Will it change my selling prices?
It updates costs from the invoice. A price is suggested only for a new product you create from a line, from your usual markup, and you can change it.
