A call from the distributor
Dr. Hany has three pharmacies in Alexandria, in Smouha, Miami and Sidi Gaber, and a back store above the Smouha branch. At ten in the morning the distributor's rep calls: batch L-2405 of a children's cough syrup is recalled; take it off the shelves and send it back.
Before, that meant three phone calls, three pharmacists on their knees in front of the shelves, and the distributor's invoices pulled out of a drawer. Now Dr. Hany types in Ask your shop “فين التشغيلة L2405” (where is batch L2405) and the answer comes at once: 14 on the Smouha shelf, 30 in the back store, 6 in Miami, 12 on the way to Sidi Gaber in a transfer, and the receipts it already went into.
A batch travels with its date and cost
- Every delivery into a location opens a batch with its number, expiry, cost and supplier.
- A transfer carries its batches: the same number, expiry, cost and supplier arrive at the other end. A batch moved from the back store to Miami is still L2405 there.
- Sales take the first-expiring first, and a return goes back into the batch its receipt line names.
- Expiry per batch per location: a location's page lists its batches first-expiring-first with the days left, the expired ones marked. Counts and the recall show them too.
Serial numbers, one by one
Karim has a mobile-phone shop in Tanta. Twenty phones of one model arrive; each has its own serial number on the box. In Settings → Warehouses he marks the phones category as serial-tracked, and the receiving page asks for the serials:
- Received one by one: he scans each box, and each serial becomes one unit of its own, with its cost and supplier.
- A serial already in stock is refused, anywhere in the shop, and so is one typed twice. A scan read twice by mistake never makes two phones.
- Sold by picking it at the till: the cashier picks the serial in the batch picker the till already has, so the receipt names the exact phone.
- A return puts it back in stock, and a transfer carries it: it is scanned at the pick.
When a customer comes back a month later with a phone “bought from you”, Karim types the serial and sees whether it is in stock, on the way, or which receipt it went out on.

The recall
Warehouses have a recall page, and Ask your shop answers the same question: type a batch number, a batch id or a serial. It compares letters and digits only, so “L-2405”, “l 2405” and “L2405” are one. It shows:
| Where | What you see |
|---|---|
| On hand | Every location that holds it, how many, the expiry and the supplier |
| On the way | The transfers carrying it, and how many |
| Its movements | Where it came in, and the receipts it went into |
Ask your shop answers for the branches the person may see, and needs the inventory right. The recall page itself is a plain search: fixed rules, not AI.
Switching it on
- Settings → Modules: switch on Warehouses (it needs Stock on first).
- Settings → Features: turn lots on. Batches and serials both need it.
- Settings → Warehouses: turn Warehouses on and mark the serial-tracked categories (phones, appliances).
- Receive each delivery with its batch number and expiry, or scan the serials one by one.
The full steps are in the manual, and we go through them with you on a call or on WhatsApp.
What it does not do yet
• The recall finds; it does not pull. It does not stop the batch at the till or call anyone; you take it off the shelf and write it off or return it.
• The till sells from the shop floor only. No selling from a van or a second location: the stock moves to the branch first.
• No consignment settlement with the supplier for consignment stock.
• Lots must be on. Without them there are no batches or serials to find.
• Not in the program on your PC: it keeps its own lots and expiry dates, but has no locations, no serial receiving and no recall page.
Which plans include it
Batches and serials across locations and the recall are part of Warehouses.

Quick answers
The box says “L-2405” and I typed “L2405”. Will it find it?
Yes. Only letters and digits are compared, upper or lower case.
What if the same serial is scanned twice?
The second one is refused, and so is a serial already in stock anywhere in the shop.
Does a moved batch keep its expiry?
Yes: its number, expiry, cost and supplier travel with it.
A customer returned a phone. Where does it go?
Back into stock under its own serial, ready to sell or to send back to the supplier.
Is the recall artificial intelligence?
No. A search by letters and digits over your own stock and movements; the same number always gives the same answer.
