Quotes from several suppliers by link: one link each, the quotes side by side, the order at the price you picked

On a big order a few piastres a carton are thousands of pounds. Asking three suppliers is easy; comparing their answers is not: one sends a voice note, one a photo of a paper, one “I'll call you”. With quotes by link in PosMasr Cloud, each supplier gets its own page to type its prices, the quantity it can send and a delivery date, and you see the quotes side by side with the cheapest marked. Here is how it goes, what the supplier sees and does not see, and what it does not do yet.

Oil and sugar before Ramadan

Hagg Adel has a wholesale grocery in Shubra. Three weeks before Ramadan he needs 200 cartons of sunflower oil and 300 cartons of sugar, and three distributors want the order. Last year he took the first price he heard and found out a week later the next one was cheaper.

This year his son raised a purchase request in PosMasr, Adel approved it, and instead of three phone calls he sent three links.

One link per supplier

  1. Open the approved request and press Ask for quotes.
  2. Tick the suppliers: up to 8. Add the date the quotes are needed by and a note (“delivery to the Shubra store”).
  3. Each supplier gets its own signed link. Press Send on WhatsApp and your own WhatsApp opens with the message and the link, in the supplier's language; or copy the link and send it in any chat.
  4. The page shows each link's state: not sent yet, sent, opened, withdrawn. You can withdraw one supplier's link alone.

The message goes from your number, so the supplier sees a name it knows. We do not send it by e-mail or from a number of ours.

What the supplier sees

The link opens a page with your shop's name, look and phone, in the supplier's language. No account, no app. On it:

  • The lines with the quantities only. Never your costs, your last price or what the others quoted.
  • Per line: its price each and the quantity it can send. A line left empty means it cannot supply it.
  • A delivery date, its name and a message.

“Your quote goes to this shop only.” A supplier who sends again replaces its earlier quote while the request is open.

By Thursday the three answered. Adel's page shows them in columns:

The cheapest price on each line is marked, and the page suggests the best quote: the one that covers every line first, then the lowest total — here El Nour. That is a fixed rule, not AI; the choice is yours.

Look at the quantity column, not only the price. A supplier that is cheapest but can send 120 of your 200 cartons is not the cheapest for the whole order.

Pick, or cancel

  • Pick makes the purchase order to that supplier for the lines it quoted, at its prices, for the quantities it can send, delivery on its date. Every other link stops.
  • The quoted prices become that supplier's next price list, so the following orders and receiving use them, and a later price rise is caught at the door — see the cost-rise alert.
  • Cancel stops every link and puts the request back to approved. A supplier who opens a stopped link reads “This link does not work any more”.

Adel picked El Nour: one truck, both lines, by Saturday, for 5,100 EGP more than the cheapest of each line. He decided the extra trip was not worth it; next time the numbers may say otherwise.

What it does not do yet

Said plainly:
• We do not e-mail the links. They go from your own WhatsApp, or you copy them.
• One pick, one order. Picking orders from one supplier the lines it quoted; a line it did not quote needs its own purchase order.
• Quotes start from an approved purchase request, so Procurement must be on.
• Not in the program on your PC. It keeps its purchase orders and receiving from Gold; quotes by link are online only.

Quick answers

Does the supplier need PosMasr?
No. The link opens a plain page in the browser: no account, no app.

Can a supplier see the others' prices?
No. Each link shows that supplier's own page; your costs and the other quotes never appear.

Someone forwarded the link. Is it safe?
Withdraw that supplier's link and send a new one; the old one stops at once. Each link is signed, and a forged one does not open.

The supplier changed its mind. Can it send again?
Yes, while the request is open; the new quote replaces the old one.
